How to Design a Voice Agent
Persona Customers Trust
A robotic voice kills trust in seconds. A well-designed persona builds it. Here's how to get the second one.
The first ten seconds of a call decide whether a caller relaxes or hangs up. Your AI receptionist's persona — its voice, name, greeting and tone — does most of that work before a single question is answered.
Start with the voice, not the script
People form a judgement of warmth and competence from a voice almost instantly. Choose a voice that:
- Matches your customer base — a warm, natural Australian accent if your callers are Australian.
- Sounds unhurried and clear, not theatrical or robotic.
- Is consistent — one voice across every call, so callers recognise "your" receptionist.

Give it a name and a greeting
Callers respond differently to "G'day, thanks for calling Acme Plumbing, this is Sam — how can I help?" than to a beep. A name and a warm opening establish that a conversation, not a menu, is about to happen.
Keep the greeting short, use your real business name, and make the offer concrete: "How can I help today?" beats "Press one for…".
Tone: competent, patient, human
- Match your brand — a boutique clinic sounds different to a 24/7 emergency plumber. Write the tone into the brief.
- Be honest about being AI — if asked, the agent should say it's an automated assistant. Callers trust disclosure more than surprise.
- Handle difficult moments calmly — angry or upset callers should get a steady, empathetic response, then a clear path to a human when needed.
The four questions to answer before you launch
- What's the agent's name?
- What's the exact greeting for a normal call?
- How does it handle "can I speak to a real person?"
- When does it hand off to a human — and to which number?
